4. Special Notes on Candidate Data & Talent Collective
The Firebrand Talent Collective and recruiting-related services involve more sensitive, career-critical information. We take that seriously.
4.1 Candidate Profiles & Résumés
When you join the Firebrand Talent Collective or otherwise engage with us as a candidate, we may:
- Create or refine a candidate profile based on your résumé, LinkedIn, intake forms, and conversations.
- Store your work history, target roles, compensation range, and other job-search preferences.
- Track roles you’ve been considered for, submitted to, or hired into.
4.2 Sharing with Employers
We follow this core principle:
Firebrand will never share your contact details or named résumé with an employer or third party without your permission, except where required by law.
Sharing typically happens in one of these ways:
- You expressly authorize us (verbally or in writing) to submit your profile for a specific role or to a specific company.
- You adjust your visibility settings or consent preferences to allow broader sharing within agreed limits.
When we do share candidate information with employers, we limit it to what is reasonably necessary for the hiring process.
4.3 Visibility, Changes & Deletion
You can:
- Request changes or corrections to your profile and materials.
- Adjust your visibility or consent preferences.
- Ask us to stop contacting you for recruiting opportunities.
- Request deletion of your data, subject to legal and legitimate business requirements (e.g., record-keeping).
To exercise these choices, email support@firebrandcareers.com.
5. Legal Bases for Processing (EEA/UK Visitors)
If you are located in the European Economic Area (EEA) or United Kingdom, our legal bases for processing your personal data may include:
- Contract – To perform our obligations under an agreement with you (e.g., delivering a report, providing coaching, or representing you as a candidate).
- Consent – When you have given us clear consent (e.g., to receive marketing emails or to share your profile with employers).
- Legitimate interests – To operate and improve Firebrand, maintain security, prevent fraud, and develop our services, provided these interests are not overridden by your rights.
- Legal obligations – To comply with applicable laws and regulations.
6. Cookies & Tracking Technologies
We use cookies and similar technologies to:
- Keep you logged in and maintain session security.
- Remember your preferences (e.g., language, saved fields).
- Understand how visitors use our site and what content is useful.
- Support analytics and basic marketing.
You can usually control cookies through your browser settings (e.g., blocking or deleting them). Some features may not work properly if you disable certain cookies.
If we use specific analytics or advertising platforms, their privacy practices will be described in more detail in our cookie notices or platform-specific disclosures.

- To provide Services you have requested;
- To maintain records of transactions, communications, and engagements;
- To support recruiting workflows and match you with relevant opportunities (if you have not revoked visibility);
- To comply with legal, tax, and accounting requirements.
As general guidelines (subject to change):
- Candidate and Talent Collective data: typically retained while you remain an active candidate or have not requested deletion, and for a reasonable period afterward (e.g., a few years) to maintain accurate hiring and recruiting records.
- Client and employer records: retained for as long as necessary to support the engagement and comply with record-keeping obligations.
- Marketing contacts: retained until you opt out or we determine the data is no longer current.
We may keep some information longer in backup archives or to meet legal obligations, even after you request deletion, but will minimize its use.

10. Data Security & Breach Notification
We take reasonable steps to protect your information from unauthorized access, use, or disclosure, such as:
- Secure hosting and access controls;
- Limited access to personal data based on role and need-to-know;
- Use of modern security practices by our core service providers.
No system is perfectly secure. We cannot guarantee absolute security of your information, and you share data with us at your own risk. You are responsible for maintaining the security of your accounts, including choosing strong passwords and not sharing login credentials.
If we ever experience a data breach that affects your personal information, we will:
- Notify you promptly by email or other appropriate means, consistent with Texas law.
- Describe what happened and what information may have been involved.
- Explain what we are doing to investigate, mitigate, and prevent future incidents.
- Provide guidance on steps you can take to protect yourself.
We may also be required to notify government authorities or consumer reporting agencies, depending on the nature of the breach.
11. Children’s Privacy
Our Services are not intended for children under 18, and we do not knowingly collect personal information from anyone under 18. If we become aware that we have collected such information, we will take steps to delete it.
